How to Prepare a Maintenance Report
A clear structure for preventive and corrective maintenance reports, including fault details, action taken, spare parts, and recommendations.
What a maintenance report should prove
A maintenance report should show what happened, what was checked, what action was taken, what parts were used, and whether the equipment was returned to service safely.
Recommended sections
Use equipment tag, location, work order number, complaint, findings, root cause, action taken, tests performed, spare parts, downtime, status, and recommendation.
Writing style
Write short factual sentences. Avoid vague words such as checked and fixed unless you also explain what was checked and how the issue was fixed.
Suggested document structure
Use a simple structure: document title, purpose, scope, responsibilities, required information, step-by-step content, review section, approval, and revision history.
